CANCELLATION & REFUND POLICY

Cancellation & Refund Policy
(Effective from June 2025)

At Capture A Trip, we believe in transparent processes and fair treatment for all our valued customers. This cancellation and refund policy applies to all holidays and services curated by Capture A Trip from June 2025 onwards.

Refund Timelines

For bookings eligible for a refund, the refund amount will be processed within 90 working days from the date of cancellation or upon receiving confirmation from our partner suppliers—whichever is later.

For cancellations that occur during the trip, the refund timeline of 90 working days will begin either from the date of return or from the supplier's confirmation, whichever comes later.

Note: Refund amounts are subject to change based on international currency fluctuations, refund approvals from suppliers, and the payments received from the customer up to that point. If there are any changes to the refund amount, the respective account managers will inform customers accordingly.

✈️ Flights

Non-Refundable Flights: Flights marked as “Non-Refundable” on your final travel vouchers are not eligible for any refund.

Refundable Flights: For flights marked “Refundable,” refunds will be processed as per the details mentioned under the product’s Cancellation Policy section and the final itinerary shared with you.

Flight refund amounts may vary with international currency exchange rates.

Important Notes:
Capture A Trip is not responsible for flight delays, cancellations, or other disruptions by airlines. Refunds for such events must be claimed directly from the respective airline.
Customers must ensure their passports are valid for at least 12 months and in good condition. Refunds will not be processed if boarding is denied due to invalid or damaged passports.
Customers are advised to arrive at the airport at least 3 hours before departure. Missing flights due to late arrival at the airport (where airport transfers are not booked through us) will not be eligible for refunds.
If airport transfers are booked through Capture A Trip and delays occur due to unavoidable regional factors, Capture A Trip cannot be held responsible for missed flights.
Details regarding baggage allowances will be shared in the final travel documents. Any excess baggage charges must be paid by the customer at the time of check-in.
Certain budget airlines (like Ryanair, Vueling, Volotea, etc.) may require mandatory web check-in. Non-compliance could result in extra charges, which Capture A Trip will not cover.
Meal preferences during flights can be requested, but availability is entirely dependent on the respective airline.

🏨 Hotels

Non-Refundable Hotels: Bookings marked as “Non-Refundable” will not be eligible for any refund.

Refundable Hotels: For refundable hotel bookings, the applicable refund amount and processing time will be as per the product’s Cancellation Policy and the final itinerary provided.

Refund amounts may fluctuate with international exchange rates.

Additional Notes:
Capture A Trip does its best to choose quality accommodations, but we are not responsible for individual hotel staff behavior, property hygiene, or services offered.
Costs for on-trip room upgrades or additional services requested by the customer must be paid directly by the customer.
Changing hotels during the trip (by canceling pre-booked hotels and booking others) will incur 100% cancellation charges for the canceled hotel(s).
Early check-in or late check-out requests are subject to hotel availability. Refunds will not be processed due to non-availability of early check-in or late check-out.

🎟 Activities & Experiences

Non-Refundable Activities: Activities marked as “Non-Refundable” on your travel documents are not eligible for refunds.

Refundable Activities: If marked “Refundable,” refund eligibility and timelines will be mentioned under the product’s Cancellation Policy and your final itinerary.

All refunds for activities may vary due to changes in exchange rates.

🛂 Visa & Insurance

Capture A Trip only facilitates visa applications by providing assistance with documentation and guidance. The final decision to approve or reject a visa lies solely with the issuing embassy. Visa fees are non-refundable if the application is rejected.

We cannot be held responsible for any sudden changes in visa processes made by the consulate during or after application submission.

Travel insurance, once applied for, is non-refundable and incurs a 100% cancellation fee.

🚗 Transfers

Refunds for transfers (if applicable) will follow the timelines and terms mentioned under the product-specific Cancellation Policy and the final itinerary shared over email.

Refunds may be subject to changes in international exchange rates.
